Organize
Your Email Inbox Effectively
E-mail is one of the most common ways to communicate
with someone either for personal or business needs. If you
have an e-mail account, it is likely that every time you open
your e-mail inbox there are many letters waiting for you to
respond to. This can sometimes be overwhelming and hard to
handle in a limited amount of time. Your inbox is not only
a place where new mail comes into, but often times where old
e-mail that is waiting to be responded to often stays for a
long time. Here are five ways to handle your e-mail
inbox while eliminating the frustrations that you may have, as well as
allowing yourself more time to get away from the e-mail inbox
to do other tasks that are needed to be accomplished throughout
the day.
Get
organized. If you have answered an e-mail or have decided
not to respond to it, it is best to put it in a folder that
is outside of the inbox or to delete the message. You can create
several different folders to keep information that you think
you might need within a certain amount of time, but that isn’t
useful for you at the moment. This will help you to categorize
and label different things that you think you will need for
reference in the future, without keeping it all in the same
place. By getting rid of certain e-mails that you don’t need
for a certain amount of time, you will eliminate things outside
of your inbox.
Respond
to old e-mails. Often times, inboxes are full of older
e-mails that you either don’t have the time to read or that
you are uncertain of how to respond to. It is best to take
some time to respond to e-mails that you need to, and find
the ones that you don’t need in your inbox and delete those.
By organizing the e-mails that you were unable to respond to,
it will eliminate the overwhelming amount of e-mail that you
have sitting in your inbox.
Keep
notes on your inbox of what you have responded to. Many
e-mails will have tools to let you know if you have responded
or forwarded a message. Beyond this, you can also organize
your inbox so that after you read an e-mail you can mark it
with the priority that it has in responding to it, as well
as marking it with whether you need to keep it for information
or for forwarding, etc. By only having to read an e-mail once,
and knowing exactly what you need to do in response, it will
eliminate wasted time in finding out what you need to do with
your e-mail correspondence.
Get
rid of SPAM. One of the reasons why inboxes often appear
to be unorganized and have several e-mails in them that have
been unopened is because it is junk mail. There is software
that is available to get rid of the junk mail that you don’t
want. There are also programs available on your e-mail account
that lets you decide when something is junk or should not be
opened. This will help to clear out your inbox.
Don’t
get involved with mass mailings. Chain letters, jokes
and stories, etc. are sent around to lists of friends as mass
e-mails. The best thing to do with these is to not participate
in sending them to hundreds of people, as most times, they
will be sent back to you by other people again, causing a clog
in your e-mail. If you do decide to respond, or if you have
some in your inbox, either put them in a different place or
get rid of them.
By organizing your inbox as a temporary folder for correspondence
among certain people, as well as knowing where to put all of
the e-mails that you get, it will become easier to handle your
e-mail. You will also find that this will allow you to become
more efficient and effective in responding to the certain e-mails
that need your attention right away. This will eliminate frustration
on your part from useless e-mails that have been sitting in
your inbox, as well as eliminating the frustration of a full
e-mail box.
